What To Expect From Our Free On-Site Survey

20th April 2020

Every uninterruptible power supply (UPS) installation, like every business, is unique. To ensure that your UPS delivers the critical power and peace of mind that you need, we offer all of our customers a completely free on-site survey. During this initial review, one of our UPS experts will visit your site and discuss your expectations, learn about the challenges you face and help to develop a clear understanding of your requirements. This enables them to design a UPS that’s bespoke for your business.

If you’re considering installing or upgrading your UPS, then here’s a step-by-step breakdown of our free on-site survey process.

Book A Free On-Site Survey

Booking a free UPS site-survey is easy, either complete our contact form, give us a call or send us an email and we’ll get in touch to ask some short questions. These will help us to learn a little more about your business and your expectations. At this point, we can book you in as soon as one of our engineer’s is available to visit you.

At Carter Sullivan, we cover the entirety of the UK with our network of trained technicians and UPS experts on hand to answer all your questions. Before their visit, we will share the information you provide with our surveyor, who will spend some time researching your business, your building and local power infrastructure before your meeting. This insight ensures the time they spend with you is as productive as possible.

Initial Discussion

Every site survey begins with a discussion about your business. Some of the questions you are likely to be asked include:

  • Why do you need a UPS? (Is it to smooth out intermittent blips in energy supply or to protect from lengthy power-outages?)
  • Do you have an existing UPS or are you installing one for the first time?
  • What will the UPS be powering or protecting?
  • What’s your ideal scenario? How long do you want the UPS to provide power for during an emergency?
  • What type or size of UPS do you think you need?

Some of our customers have a clear idea of the UPS they believe they need. Others are seeking a solution from us. These initial questions give us an insight into your knowledge of UPS systems and provide the basis for us to gain a more detailed understanding of your requirements.

On-Site Survey

During the on-site survey, our surveyor will walk with you through the proposed UPS site location. They will be considering all aspects of UPS installations, including:

  • Room power configuration: They will look at where the power is delivered to the room, how the power is distributed across the room and the UPS outlet.
  • Proposed UPS location: The surveyor will look at where the current UPS is located, or the proposed position for the new UPS to be situated. They’ll look at the space available, including measuring all clearances. UPS systems should have 300mm of clear area surrounding them, but ideally up to 500mm. All UPS systems should have 360-degree access.
  • UPS support: Our assessors will discuss the floor of the room, including whether the UPS will be located within a rack, on a concrete floor or a raised floor. If it’s on a raised floor, assessors will discuss whether a plinth (a strengthened base for the UPS to sit on) is advisable.
  • UPS cabling: Our technicians will look at cabling requirements ensuring that there is enough room for all UPS cabling. We will ensure that all bypass panels and distribution sockets aren’t blocked.
  • UPS equipment protection: The surveyor will look at the equipment that needs to be secured, whether that’s powering racks or protecting sockets.
  • Cooling systems: UPS’s can generate heat, so our experts will assess the cooling systems currently in place and decide whether they are adequate.
  • UPS installation: Access for installation is a crucial consideration. UPS systems can weigh 800kg or more – beyond the carrying capacity of most passenger lifts. Our surveyors will discuss the challenges of transporting and installing your UPS.

During this process, our surveyors will take measurements and photographs to create sketches that will help them to develop a solution that delivers sustainable protection.

UPS Installation

The modern business works 24/7, so we need to know when we can install your new UPS with minimum disruption. We need to understand the peak times for your business, including any crucial times when we can’t work.

During this process, our surveyor will ask questions that will enable the development of a mutual plan to minimise disruption to your business.

We can work flexibly – including evenings and weekends – when installing your UPS. Every Carter Sullivan UPS installation follows a tested and trusted process that ensures you, your business and your equipment are safe and secure.

Future Growth

As your business grows, so do your power requirements. During our survey, we will ask about any planned or potential growth, building these calculations into our models.

We want to ensure that your UPS can power your growth, not inhibit it, so spend time sizing your UPS system to ensure the investment you make today pays off in the future.

Maintenance & Management

Regular scheduled UPS maintenance can ensure your power protection system is ready when it’s needed. Our surveyor will discuss your maintenance requirements and the service packages that we offer.

All of our clients can benefit from ongoing maintenance and repair contracts, with our network of trained technicians located across the UK able to rapidly respond to any issues you may experience.

At Carter Sullivan, our technicians receive expert training from leading manufacturers Eaton, Riello and APC to maintain and repair UPS systems. We have long-established partnerships with these three brands and regularly receive briefings and information to ensure that we have the most up-to-date product knowledge.

Custom Quotation

We use the information from our initial discussions and the site-survey to produce a customised quotation for your new UPS. We don’t just send you a figure, every customer receives a detailed report of our findings from the survey. We provide an outline of discussions alongside our expert recommendations, including product descriptions.

Alongside the technical specifications, we provide an idea of installation timescales so that you can understand the potential impact on your business and plan accordingly.

At Carter Sullivan, we invest time and resources in developing a custom quote tailored for your business. Our tried and tested process for UPS design, installation and maintenance provides a cost-effective and risk-free solution. It’s why we’re the UK’s number one choice for UPS installations.
